n8n vs Zapier vs Make: which automation platform fits your business?

Zapier, Make and n8n all connect your apps and automate repetitive work, but they are built on different ideas, and those differences decide what you pay and what you can build once your automations grow beyond a few simple steps. This guide compares them for businesses that want automation to run real operations: lead handling, sales follow-up, orders, reporting and AI-assisted workflows.

The short answer

  • Zapier: the easiest start and the largest catalogue of ready-made app connections. Best for simple, linear automations owned by non-technical teams.
  • Make: a visual builder with more control over branching and data handling than Zapier. A good middle ground for teams that want complex scenarios without code.
  • n8n: the most flexible of the three. It can be self-hosted, it handles complex logic and custom code, and its pricing does not grow with every step inside a workflow. Best when automation is core to how the company runs, or when data needs to stay on your own infrastructure.

1. How each one charges, and why it matters

The billing unit is the most underestimated difference, because it decides how cost grows as your workflows grow.

  • Zapier bills by tasks: each successful action step in a Zap generally counts. A workflow with five actions that runs 1,000 times uses roughly 5,000 tasks.
  • Make bills by credits. It moved from “operations” to credits in August 2025; in general, each module action consumes credits, and AI modules can consume a variable number.
  • n8n Cloud bills by workflow executions: one complete run of a workflow counts once, however many steps it has. Self-hosted n8n (the community edition) has no execution limit from n8n itself; you pay for your own server and maintenance.

In practice: for short, simple automations the difference is small. For long workflows (enrich a lead, check the CRM, route it, notify a rep, log it, send a follow-up), per-step billing grows quickly while per-execution billing stays flat. Always check each vendor’s current pricing page, as plans change.

2. Ease of use

Zapier is the easiest to learn and the quickest way for a marketing or operations person to connect two tools. Make’s visual canvas is intuitive but rewards a little more technical thinking. n8n is also visual, but its strength shows when someone on the team is comfortable with data structures, APIs and occasionally a few lines of JavaScript or Python.

3. Complex logic and custom code

Real business processes are rarely linear: “if the lead is from Saudi Arabia and asks for a quote, assign it to this rep; if nobody responds in two hours, escalate”. All three tools support branching, but n8n and Make give more control over loops, merging data, error handling and retries. n8n lets you drop in custom code nodes and call any HTTP API directly, which matters when a tool you use has no ready connector, which is common with regional CRMs, couriers and payment providers.

4. Data ownership and hosting

With Zapier and Make, your data passes through the vendor’s cloud. That is fine for many companies. n8n can also run on your own server, so customer data, internal documents and credentials stay on infrastructure you control. For companies with data-residency or privacy requirements, or that handle sensitive customer information, self-hosting is often the deciding factor.

n8n’s community edition is source-available under its Sustainable Use License: free to use for your own business operations, with restrictions on offering it as a commercial service to others. Read the licence if that is relevant to you.

5. AI workflows

All three now offer AI steps. n8n has invested heavily in AI agent building blocks: memory, tools and connections to different model providers, which makes it practical to build things like an assistant that classifies incoming WhatsApp messages, drafts replies and routes them to the right person, with a human approving before anything is sent.

6. Maintenance

Hosted tools (Zapier, Make, n8n Cloud) handle uptime and updates for you. Self-hosted n8n needs someone to own updates, backups, monitoring and security. If nobody in your team will do that, use n8n Cloud or work with a partner who maintains it.

Which should you choose?

  1. A few simple automations and no technical person? Start with Zapier.
  2. More complex scenarios, still no code? Make is a strong option.
  3. Automation is central to sales and operations, volumes are growing, or data must stay with you? n8n will usually give you the best control and cost at scale.

Whichever tool you choose, start with one painful, repetitive process, document how it works today, automate it, test it with the team, then expand. For ideas, see 7 tasks you can automate with n8n in your company today.

Frequently asked questions

Is n8n free?

The self-hosted community edition can be used for free for your own business operations under its licence; you pay for the server and maintenance. n8n Cloud and enterprise plans are paid.

Can I migrate from Zapier or Make to n8n?

Yes, but workflows are rebuilt rather than imported one-to-one. It is a good moment to clean up and consolidate automations that grew organically.

Does n8n work with WhatsApp?

Yes, through the WhatsApp Business Cloud API, either with n8n’s built-in node or direct API calls.

Do I need a developer to use n8n?

Not for simple workflows. For complex, business-critical automations, having someone comfortable with APIs and data, in-house or a partner, makes them far more reliable.
